Introduction

Surrey Training Hub provides a range of services including training and a range of initiatives to promote the recruitment and retention of the Primary Care workforce. This general Statement of Privacy provides an overview of the types of personal data we may hold about you, how we collect it, how we use it and who we may share information with. We are required to give you this information under the data protection law

Personal data we collect

There are a variety of reasons why we collect information about you. We collect and process the following personal data:

  • personal identifiers and contacts (such as name, contact details and address)
  • characteristics (such as ethnicity, language, any relevant medical information)
  • information about your computer hardware and software that is automatically collected by Surrey Training Hub via use of our website (such as your IP address, browser type, domain names, access times and referring website addresses)

How we use your personal data

Any information you provide will be held and used in accordance with the Data Protection legislation. Surrey Training Hub collects and uses your personal information to;

  • operate and deliver the services you have requested
  • provide you with help, advice and appropriate services
  • inform you of other products or services available from Surrey Training Hub and its affiliates
  • contact you via surveys to conduct research about your opinion of current services or of potential new services that may be offered
  • when it is necessary for legal cases
  • assess the quality of our services, monitor progress and develop good practice
  • evaluate and improve our policies around training and development
  • provide information about Surrey Training Hub
  • complete statistical returns to governing bodies such as Health Education England and NHS England
  • help us teach, train and monitor staff on their work
  • improve efficiency and the effectiveness of services we offer

Legal basis for processing your personal data

We rely on your consent to collect and use your personal and other information under the Equalities Act 2010 (Articles 6(1)(a) and Article 9(2)(a) of the GDPR).

How we collect personal data

In order to comply with the data protection legislation, we will inform you at the point of collection, whether you are required to provide certain personal information to us or if you have a choice in this. We collect personal data via a number of means including:

  • face to face interviews
  • telephone conversations
  • written letters, referrals, emails and text messages
  • forms and documents submitted through websites
  • from other third parties

How long your personal data will be kept

We only keep your personal data for as long as is required by law and in accordance with our retention schedule.

Keeping your personal data secure

Surrey Training Hub secures your personal information from unauthorised access, use or disclosure. There are appropriate security measures in place to prevent personal information from being accidentally lost.

We secure the personally identifiable information you provide on computer servers in a controlled, secure environment, protected from unauthorized access, use or disclosure. When personal information (such as a credit card number) is transmitted to other Web sites, it is protected through the use of encryption, such as the Secure Socket Layer (SSL)   protocol.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Who we share your personal information with

Surrey Training Hub does not sell, rent or lease its customer lists to third parties. We may, from time to time, contact you on behalf of external business partners about a particular offering that may be of interest to you. In those cases, your unique personally identifiable information (e-mail, name, address, telephone number) is not transferred to the third party. In addition, we may share data with trusted partners to help us perform statistical analysis, send you email or postal mail, provide customer support, or arrange for deliveries.

All such third parties are prohibited from using your personal information except to provide these services to Surrey Training Hub, and they are required to maintain the confidentiality of your information.

We do not use or disclose sensitive personal information, such as race, religion, or political affiliations, without your explicit consent.

Surrey Training Hub will occasionally update this Statement of Privacy to reflect company and customer feedback. Surrey Training Hub encourages you to periodically review this Statement to be informed of how Surrey Training Hub is protecting your information.

Other notices

Surveys, questionnaires, and newsletters

For some of our consultation, surveys and newsletter, we use a third party system (e.g. SmartSurvey, Mailchimp) Any personal information you submit as part of the consultations and surveys will be stored and processed for a short period of time by the third part app. Surrey Training Hub will regularly collect submitted information. While it is held by our third party app it will be protected in line with its Privacy Policy. By continuing with this survey, you consent to the transfer of your information from the third party app to Surrey Training Hub.

In the course of collecting information through consultations and surveys, Surrey Training Hub may ask for the following personal information (this list is not exhaustive):

  • Your name
  • Equalities data: gender, race, ethnicity, religion, sexuality, marital status, pregnancy/maternity, disability
  • Nationality
  • If you are a carer
  • Address
  • Social media accounts (Facebook, Instagram, Twitter, LinkedIn)
  • Contact details, such an email address or telephone number

We will use your personal information to inform you of the outcome of the consultation if you have requested updates. We may also publish the results of this survey or consultation, anonymised or with personal information removed, on our website, and findings may form part of other written reports which are publicly available.

No personal or sensitive information which can identify you or someone else, such as your name or address, will be made public by Surrey Training Hub. We will follow our Data Protection policies to keep your information secure and confidential.

You can opt out of receiving our communications such as newsletters, surveys and consultations at any time. This does not affect your right should you wish to opt back in in the future.

Surrey Training Hub keeps track of the Web sites and pages our customers visit within Surrey Training Hub, in order to determine what Surrey Training Hub services are the most popular.
